A clear explanation of how we handle your important emails and user information.
Article 1. Scope of this policy
The GLINE Operator sets out below how information is handled in the App (including its in-app name “G-LINE”) and this website. Information is handled only as needed to provide features users choose, such as viewing, sending and organizing email.
Article 2. Information and storage
| Information | Purpose and primary storage or processing location |
|---|---|
| Authentication and connection data | We use Google account identifiers, names, email addresses, profile pictures and Firebase user IDs to identify users and display connected accounts. OAuth authorization codes and tokens authenticate with Google and run Gmail features, with connections managed on the server. GLINE does not obtain Google passwords. |
| Gmail message information | Within the user's authorization, we obtain and process senders, recipients, subjects, bodies, dates, message and thread identifiers, labels, read status and attachment information handled by supported features. Gmail API and the server provide viewing, sending, receiving, search, label management and trash operations. Email contents are stored in Gmail. |
| Templates, settings and schedules | Created templates, categories, settings such as pins, and scheduled recipients, contents, times and processing status are handled on servers such as Firebase to save and run those features. |
| Contacts and backgrounds on your device | Names, email addresses, phone numbers, companies, addresses, categories, notes and selected background images registered by users are stored on their device. GLINE does not sync them with Google Contacts or upload this information to the server. |
| Notifications and device settings | Background and notification settings are stored on your device. If notifications are enabled, the notification device token and settings are registered on the server and used with services such as Firebase Cloud Messaging. |
| Purchase information | Product IDs, platforms, purchase verification data, authentication tokens and entitlement status are handled by stores, Firebase and purchase verification servers. GLINE does not directly obtain or store card numbers or bank account information. |
| Contact us | The user's selected category and entered message are passed to their email app. The Operator handles the sender, body and user-supplied attachments of emails actually sent to support in order to respond. |
| Technical information | While delivering and operating services, infrastructure such as Firebase may process or record IP addresses, request times, errors and other technical information as needed for security and troubleshooting. |
Photos are accessed when a user chooses to add a background. The selected image is resized for the App and saved on the device; up to three images can be selected from. Choosing an image does not authorize sending other photos to the Operator. If OS backups are enabled, handling also follows the OS and backup service settings.
Article 3. Purposes of use
- Identity checks, Gmail connections, email viewing, sending, receiving and organization, and other user-operated features
- Saving and displaying templates, settings, contacts and backgrounds; scheduled sending and notifications
- Purchase verification, paid-feature entitlement checks, prevention of misuse and security
- Responding to users, investigating and fixing incidents, and meeting applicable legal obligations
Article 4. Limited Use of Google user data
GLINE's use of information received from Google APIs and transfer to other apps complies with the Google API Services User Data Policy , including its Limited Use requirements.
Access to Google data is limited to providing and improving clearly visible email features authorized by the user. Human access to message contents is limited to situations allowed by that policy, such as the user's explicit consent to view specific data, security needs or legal requirements.
In addition to normal email management permissions, permanent deletion in Gmail requires an authorization scope allowing that action. Review permitted data and actions on Google's authorization screen.
Article 5. External services and sharing
We do not disclose user information to third parties except where required by law, with user consent, or through outsourcing and connections needed for the explained features. We primarily use the following services.
- Google / Gmail API: Google authentication and authorized Gmail operations. Google Privacy Policy
- Firebase: Authentication, Cloud Firestore, Cloud Functions, App Check and Cloud Messaging provide authentication, data storage, server processing, purchase verification, misuse prevention and notifications. Processing depends on each service's configuration and may occur outside Japan where the infrastructure is located.
- Apple App Store / Google Play: Purchases, renewals, cancellation, refunds and purchase verification. Apple Privacy Policy
- Email apps / X / store rating pages: Opened when users choose to inquire, post or rate. Users review and send emails or X posts themselves. GLINE does not automatically post for them.
- Advertising destinations: External websites open when users select ad links. Those sites may handle information under their own policies. GLINE does not attach or send Gmail data to them.
Article 6. Advertising and website browsing
The App's free plan shows preselected ads, affiliate links or GLINE Plus information in its ad area. The current implementation uses fixed text links, without ad-SDK behavior tracking, advertising ID collection or advertising based on Gmail data. Plus members do not see the ad area.
This website does not include analytics SDKs, ad trackers or custom tracking cookies. Firebase Hosting may process technical access information when serving pages. Support form entries are not sent to or saved on this website's server; they are passed locally to the user's email app when opened. Message copying occurs only when the user chooses it.
This website uses browser language and region settings to choose its initial language. Your chosen language is saved in this browser's local storage for future visits. We do not obtain location data or send IP addresses to an external country-detection service to select a language. You can change the language at the top of the page. Clearing the browser's site data also removes the saved choice.
Article 7. Retention and deletion
Device contacts, background images and settings may be retained until deleted in the App, the App is removed or the device is reset. Deleting copies held by the OS or backups follows those services' settings.
Server connection data, templates, settings, notification devices, pending scheduled messages and account information are retained as needed for continued use and are subject to account deletion requests. Legal retention obligations, purchase records and minimum records for misuse investigations or safe deletion may be retained for the necessary period. Unneeded information is deleted or anonymized within a reasonable time.
Deleting GLINE does not delete Gmail messages or Google accounts. For detailed steps, see account and data deletion.
Article 8. Your choices and requests
- You can revoke GLINE's access from your Google account's third-party connections. Gmail syncing and sending will stop being available after revocation.
- Change notifications in the App or OS settings. Delete registered contacts and background images within the App.
- Request GLINE account deletion from the App's settings or use this website's deletion support. Disconnecting an account and deleting it affect different information.
- Contact the address below to request access, correction, restriction or deletion of held information. We verify identity and respond under applicable law.
Article 9. Security
The Operator aims to prevent disclosure, modification or loss using access controls, identity checks, protected communications and infrastructure security features. Message bodies, authentication tokens and inquiry details are not repurposed for ads. Users should also check their device locks and Google account security settings.
Article 10. Changes and contact
If this policy changes due to features, external services or legal requirements, important changes are announced in the App or on this website. Changes to Google user data handling include any necessary explanation and consent process.
